5 Tips for more efficient project management

Whatever industry you are in, project management forms a major part of your daily work. A successful product launch or software release is one that has been planned and managed effectively from conception to delivery, and much of its success hinges on the effectiveness of the project management. At Smarter Interactive, we use technology such as interactive white boards and video conferencing to communicate between staff on a daily basis. Here are our five tips for more efficient project management.

1. Record the scope of the project

Often the most important process in project management is the scoping of the details – working out exactly what needs doing, by whom and when. Many managers  will be familiar with the “war room”, where the walls are covered with Post-it notes and diagrams relating to a project, but this can be a recipe for disaster as it only takes one note going missing to bring a project into crisis. Instead, record your notes digitally, perhaps on a SMART Board, and save them in SharePoint so everyone on the team has access to the latest information.  You can even use your SMART Board with project management software like iObeya.

2. Choose the best team for the job

Sometimes projects falter because the team are chosen because of their location rather than their expertise. You want the best people for each job, so don’t let distance restrict you. Tools like video conferencing and interactive white boards let and your team communicate, share data and collaborate on projects wherever you are located.

3. Think in words and pictures

Flip charts and white boards are great for writing and drawing on, but sometimes you need to think more visually. A SMART Board lets you display and share anything you can view on your computer monitor, so you can include models, images, videos and presentations in your discussion quickly and easily. You can even write over any material and save it for future reference.

4. Review the project regularly

Tools like video conferencing mean you can communicate remotely with your team and review the project at every stage. If deadlines are slipping or budgets are spiralling you can spot and stop it straight away, and work together on the next steps, without requiring everyone to be in the same room.

5. Dynamic client presentations

When the project is complete you can use a SMART Board to enhance your client presentation by showing multimedia materials as well as documents and charts. And because you can write directly over the screen, you can make notes of any alterations and email them directly to the team, so there’s no delay.
