Benefits of using SMART Boards with Microsoft Lync

One of the key questions we try to understand the answer to when discussing a collaboration or unified communication strategy with an organisation is “what reasons do people currently have to travel to a meeting?” Answers can range from “that is the way we have always done it” to “we believe in face to face communication and decision making” to “we need to be able to brainstorm, write notes and discuss different ideas on a flip chart”. Only by getting to the route cause of why individuals want to travel to a meeting can an appropriate technology solution be recommended.

Microsoft® Lync™ provides a single interface that unites voice communications, IM, and audio, video, and Web conferencing into a richer, more contextual offering. By providing a single Unified Communications environment it can represent the software “back bone” to an organisation wanting to achieve collaboration.

What does this statement mean in practice? Microsoft Lync is a software solution that includes voice, video and data sharing, but how do you write notes and what happens if there are lots of people in one of the meeting rooms?

When we discuss how an organisation can achieve a collaboration strategy and develop a solution to reduce travel, improve communication and enhance group working over distance we view Microsoft® Lync™ as complimentary to SMART Boards. Microsoft® Lync™ represents  the software required to achieve voice, video and data sharing for desktop users, but when it comes to data sharing how much collaboration is possible?

SMART Board’s allow any computer to be controlled with your finger instead of a mouse from a screen up to 87” diagonal. SMART Board’s  also allow any program to have hand written notes annotated directly over the information. Therefore, if an organisation has a method of sharing voice, video and data already…. A SMART Board can become the “input” device required in a meeting room to achieve hand written notes.

When a SMART Board is used with Microsoft® Lync™ the participants can hear each other through VoIP, see each other through a webcam and share the information on their computers. The SMART Board is then the large screen allowing the computer to be seen and controlled. Finally, notes can be written by any participant with access to a SMART Product and therefore notes can be written by anyone and appear instantly. Now that DOES represent a truly collaborative solution.
