Case Study: how Scottish Water cut costs and improved efficiency with SMART Boards

Scottish Water is the 4th largest water provider in the UK and the only one to still be publicly owned. With 3,700 employees covering an area a third the size of Great Britain, being able to collaborate on projects was difficult and time consuming – especially when the only tools available were flip charts, traditional whiteboards and projectors.

While Scottish Water was keen to embrace new technology, it also needed to make sure that any investment was a good use of public money. Any investment needed to have tangible benefits such as improved productivity and cost savings.

To aid staff collaboration, Scottish Water decided to invest in four SMART Boards, which were installed in four separate meeting rooms in the Dunfermline Head Office, along with SMART Bridgit software, which allows access to SMART sessions via desktop or laptop computer, smartphone or tablet.

The SMART Boards have proved to be a wise investment and are used almost every day. Staff use them to write in digital ink over any application, make and record meeting notes, annotate images, amend text and capture the flow of ideas – all in real time. After meetings the notes are sent out immediately – meeting notes are now more accurate and there’s no longer a need for anything to be typed up. Overall the SMART Boards have been easy to use and staff find them much more engaging than the older methods of collaboration – and that makes meetings more productive.

The benefits to Scottish Water have indeed been tangible. Collaboration within the company is now far more effective and productivity has increased. Further, there have been real cost savings, as it’s now much quicker to get projects started and there has been less travel involved in getting people together for meetings. The company is now hoping to introduce SMART Boards to other offices to encourage real-time virtual collaboration across the office network.
