How to conduct an effective meeting

Running an effective business meeting is not a matter of simply sitting in a room around a table and discussing the issues of the day and how they are impacting your business.  While meetings are called for a variety of reasons – service related issues, planning for new products, informing teams of company performance etc… – the key differentiator between an effective meeting and one that is not effective is that an effective meeting accomplishes something.  There needs to be a clearly defined agenda and plan of the meetings purpose and objectives and going into it the chair of that meeting should have an idea of the expected end point and outcome.

Technology alone will not make your meeting an effective one, but having access to and utilizing some of the new tools and technologies currently available will definitely serve to guide you in the right direction. Interactive Whiteboards and flipcharts are crucial and critical tools for managing a meeting correctly.  Used correctly they can not only ensure that you stay focused on the topic being discussed, but they also give you a way to note down issues for further discussion and analysis at a later stage.  By keeping the information clearly visible to all the meeting attendees, opportunities for improved brainstorming become available, and by clearly noting action items and the individuals responsible the attendees know what they are expected to do going forward.  In addition, Smartboards have the capability of transferring the data being discussed directly to a linked PC providing a further saving on time and effort.
