The benefits of SMART Boards for Project Management

SMART Boards are Interactive Whiteboards that use a projector or LCD screen to produce a computer image on a screen. The screen is touch sensitive and allows any program on the computer to be controlled using your finger. In addition you can write in digital ink over any program on the computer and save all of your notes. They have been established within schools across the world for years, but generally their adoption in business has been slower.

SMART Boards offer several significant benefits when being used for project management. Here is a brief summary of some of the key benefits.

Replacing a whiteboard or flip chart

Usually project management involves an ongoing series of meetings lasting several weeks, months or even years. If these meetings are conducted using a whiteboard or flip chart all notes need to be typed up after the meeting to be distributed or photos taken using a camera. However, when the next meeting takes place any notes can only be referred back to from the original flip chart, the typed up notes or a photo. This is a poor use of type compared to using a SMART Board for Project Management where notes can be written on any number of pages, saved, emailed and distributed. When the next meeting takes place the file can be re-opened and added to or edited.

Using digital content

In the 21st century it is rare to have a meeting that does not refer to other computer based data. Whether this is an Excel spreadsheet, a PowerPoint, online material or a video there is usually content relating to an ongoing project. Traditionally this content is referred to via a projector or flat screen and any discussion is recorded separately on a whiteboard or flip chart. By using a SMART Board for Project Management all notes can be added to as digital content. This can either be achieved by writing directly over the program (for example writing on a PowerPoint) or by capturing the content back to SMART Meeting Pro’s whiteboard as an image. Either way, the digital content can be written over with handwritten notes, and added to and saved for future reference.

Working without being in the same location

The biggest advantage for an organisation to achieve a return on any investment in using a SMART Board for project management comes when we consider how colleagues can participate when they are not available in the meeting room. Due to the fact that anything written on a SMART Board is digital and therefore on a computer, everything can be shared in real time with anyone working remotely. All they need is access to a device with access to the Internet such as a PC or iPad. Then, when you write a note on your SMART Board in your main project management meeting, they can see the note appearing on their screen anywhere in the world. In addition, they can write or type back in real time. They will also not just be seeing the handwritten notes but any additional digital content you are writing over. This two-way collaboration allows SMART Boards for project management meetings to deliver some significant benefits to reduce the time and expense of travel, involve external specialists and reduce your carbon footprint.
