Tips for improving communication during construction work

For construction projects to run the schedule and be completed on time, good communication is key. In an industry that relies on the services of multiple contractors spread across sites, it’s not always possible to communicate effectively if you rely on traditional methods. Here are some tips for improving communication during construction work, using the latest technology.

Communicate without being in the same room
Gone are the days when you need everyone in the same room for a meeting. Video conferencing means you can see and speak to contractors wherever they are based, and hosted solutions such as LifeSize Clearsea allow you to roll out video conferencing to workers at home or on site without them requiring expensive equipment.

Collaborate remotely
As well as speaking to your team remotely, you can collaborate on projects wherever you are located too. A SMART Board enables you to view documents and share your screen with other users, who can all annotate, highlight and control the material. You can even open programs such as AutoCad and write directly on the images. There are a number of ways your team can connect to a SMART meeting. For example, you could have a SMART Board installed in head office, use a mobile device such as a Podium in the site office and connect to other contractors via their computers or iPads.

 Record all information
If construction plans go through several stages of change it’s not always easy to ensure everyone has the latest version and major problems can occur as a result. By using a SMART Board you can record your meetings and keep all the annotations embedded in the documents. At the end of the meeting it’s simple to save the screens and email them to everyone, so you know your team are quite literally working from the same page.

Instant communication, instant sign off
Once you have installed technology such as a SMART Board or video conferencing, you have instant access to communication with your contractors. Need to ask the architect’s opinion of a change to the plans? Invite him to a video conference straight away. Want to get approval for the design process? Send an invite to a SMART meeting and the designer can actually write on the plans to sign them off. No delays, no wasted time, meaning your projects can be completed on time and without the need for expensive travel.
